Booking Terms and Conditions

1. Introduction

a. These terms and conditions set out the basis upon which you hire intentsGP's tents (or other accommodation products listed in section 2- under definitions) from IntentsGP Limited (“us” or “we”, as appropriate) and use the same. Please ensure that the information you complete when booking is correct and complete - we cannot be held responsible for mistakes which result from incorrect or incomplete information you provide.

b. Our terms and conditions are subject to change at any time at our sole discretion. We will notify you of any amendments by email and changes can be found on this page. You can request an electronic copy of our terms and conditions via email.

c. intentsGP will supply the tent and provide the equipment booked to the event. This commitment is given in good faith, withstanding any issues encountered through third party organisers of the event or other external factors outside of our control.

2. Definitions

"tent" is the intentsGP accommodation product to be provided to you for use at the event and includes all physical items provided with the product. This term also covers other non-traditional tent structures including motorhomes, cabins, octopods, yurts, safari tents, standard tents, glamping tents, family standard tents, adult standard tents and all group tents.

"contract" is the contract between us and you for the supply and rental of the tent.

"event" is the event where the tent will be used, as set out on the booking form.

“You”, “guest”, “customer” the other party of the contract with intentsGP

“Hire charges” charges for hire of tent and/or equipment.

3. Rental Period

The contract will commence at 3pm on the date set out in the booking form unless specified or agreed separately and will terminate at 10am on the date set out on your booking form.

If your booking ends on the day of the race, it's not a problem for you to leave your vehicle(s) at our campsite and collect them after the race. You will be required to remove all your belongings from your tent by 10am (i.e. before you go to the circuit). Failure to do so may result in your security deposit being affected or being charged for an additional night’s stay.

4. Hire Charges and Damage/Security Deposit

a. Charges for hire of tents(s) are payable at the rate set out on the booking form ("hire charges").

b. To complete your booking, you will also be required to pay a security deposit in the amount set out on the booking form. You cannot be checked-in to your accommodation until the security deposit has been paid.

c. The deposit which will be returned to you if the tent is returned to us at the close of the event in the same condition in which it was provided to you. If it is not, we will deduct the costs of any repair from the deposit and return any balance of such sum to you. If via your booking then it will be returned within a week by the same method by which you paid. If you have booked a motorhome then the deposit will be "pre-authorised" when you arrive at our reception. No money will leave your account at that time.

d. Full payment is due once your booking has been accepted by us and accommodation cannot be confirmed until we receive payment in full and clear funds. On receipt of payment, a confirmation email and receipt will be sent to you by email confirming your booking. No further reminder will be sent.

5. Noise Policy

a. Our campsite will be subject to a strict noise policy for the benefit of all our campers. Beyond 11pm our customers should quieten down. At Midnight and beyond, there should only be very low levels of noise thus allowing everyone to sleep.

b. If individuals/groups are unable to adhere to our noise policy, they may have their accommodation contract cancelled and/or may risk forfeiting the security deposit.

c. intentsGP will not be held responsible for the noise and disruption caused by other campers.

6. Campsite Behaviour

a. In the best tradition of good practice, reasonable behaviour towards fellow campers, suppliers, visitors and intentsGP staff is expected at all times.

b. Fellow campers must not be disturbed. We reserve the right to terminate with immediate effect the stay of anyone who is behaving irresponsibly. Those people will be required to leave our campsite immediately. We will have no further responsibility toward those individuals including any return travel arrangements.

c. No refunds will be made and we will not pay any expenses or costs incurred as a result of the termination.

7. Use of Power/Electricity

a. We will provide power at each event where available. This is primarily for the use of intentsGP but may also be used by you at our discretion.

b. Electricity does NOT come as standard in all of our accommodation products. Your booking confirmation will tell you if you have power included. If unsure, please contact our team in advance of arrival.

c. We accept no responsibility for the performance of the power, nor any damage the power causes to devices which you have plugged into it.

d. Typically, there will be power going into the marquee with a few gangs of multi adapters on them. We ask guests to charge devices in the designated signposted recharge lockers where it is safe to do so. At no point should you unplug other devices.

e. We accept no responsibility to the loss or theft of such items.

f. The electricity is free for all of intentsGP guests to use and is on a ‘first come, first served’ basis.

8. Refunds

a. If you cancel your booking within 48 hours of your order, you are entitled to a full refund.

b. If you cancel your booking 28 days or more prior to the date our campsite opens for the event we will refund hire charges that you have paid subject to levy by us of a cancellation fee of 10% of the hire charges.

c. If you cancel your booking more than 14 days before our campsite opens (but less than 28 days before) we will refund hire charges that you have paid subject to levy by us of a cancellation fee of 50% of the hire charges.

d. No refund will be given if you cancel your booking 14 days or less prior to our campsite opening.

e. If you place a booking and the race date changes prior to 31st December (e.g 31st December 2024 for the 2025 races) then you will be entitled to a full refund if the new date is no longer convenient.

9. Complaints

a. If you have a complaint about your stay or experience, we kindly ask that you inform us as soon as possible. intentsGP will take and handle all complaints fairly, seriously and may carry out an investigation in relation to the matter.

b. If you have a complaint whilst you are staying with us, please request a Manager at the intentsGP reception check in who will be able to assist.

c. If you have a complaint about your stay after you have checked out, please write to support@intentsgp.com where a member of the team will be able to assist. You must provide as much information about your stay as possible including any evidence. Please allow up to 14 days for a response.

10. Booking Deposit

a. If you pay a deposit towards your booking, your deposit booking will be fully refundable up to 48 hours after you book. After that if you cancel you will lose the deposit.

b. If you don't pay the balance at the very latest 28 days before the date our campsite opens for the event then you will lose your booking and your deposit. We will remind you of the due date on several occasions but it is your responsibility so please do not forget!

c. If you have paid the deposit then our system can only accommodate you paying the remaining balance in one payment. This can be done any time up to 28 days before the date our campsite opens.

11. Force Majeure & Public Health Crises

a. We will not accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected, or you otherwise suffer any loss or damage due to circumstances that come under the definition of force majeure.

b. Force majeure means any event that we or the supplier of the services in question could not foresee or avoid even with all due care.
• Act of God including tempest, fire, or natural disaster;
• War, civil war, sabotage or act of terrorism;
• Government sanction, embargo, import or export regulation or order;
• Labour disputes, including strikes, lockouts, boycotts or other industrial action
• Failure in the transportation of equipment, machinery or personnel or in the provision of any utility including power, gas, water, or communication services;
• or any event or circumstance beyond the reasonable control of a Party

c. If an event is cancelled because of a public health crisis including epidemic, pandemic, widespread disease or other we will roll over the booking and payment to the same event the following year. There will also be alternative options to switch events or a credit to use in the two years following if this is more convenient.

12.Passports and Other Travel Documents

a. It is your responsibility to ensure that you possess the correct travel documents such as passport, health or visas. We cannot accept liability if you are unable to travel because of a failure in documentation on your part.

b. We strongly recommend that you possess comprehensive travel insurance. We are unable to advise on what type of documentation you may require.

13. Accommodation Acceptance

a. You will satisfy yourself that the tent as supplied is of satisfactory condition.

b. Any fault in the tent must be notified to one of our staff at the event as soon as reasonably practicable after it is discovered and in any event within one hour of being discovered.

c. We will endeavour to supply the services and equipment in accordance with your booking at all times. The services and equipment are subject to change.

d. We will endeavour to provide you with the particular equipment you have booked but there may be times when we have to provide you with alternative equipment due to a lack of availability of certain equipment or other circumstances. In such event we will provide you with alternative equipment of the same or similar specifications and quality to that which you originally booked.

e. You will leave the tent in good condition and clean and tidy at the end of the event. The tent and contents remain our sole property.

14. Loss, Damage & Fire

a. We exclude to the fullest extent permitted by law our liability to you for loss or damage resulting from your use of the tent or equipment.

b. As party leader, you are responsible for the behaviour of all members of your group and will be liable for any loss or damage to the tent, the site where it is located or its contents during their stay. It is your responsibility to ensure that all possible steps are taken to avoid injury when using the tent.

c. You will also ensure that you and your party comply with all rules set down by the event organisers e.g. no animals at all can be allowed on the event site.

d. You will not subject the tent to any misuse or wear and tear inconsistent with normal and reasonable use, complying, where applicable, with manufacturer recommendations or any other reasonable requirements that we notify you of.

e. The accommodation we provide is a public space and the use of vapes, cigarettes and other smoking devices are strictly controlled. You must not use vapes, cigarettes or other smoking devices inside communal areas or any of the accommodation units provided. Please use the provided smoking areas. You will not use a large uncontrolled naked or other type of flame in, on or around the intentsGP site (exclusions being lighters).

f. The Hirer will not cook within the immediate confines of the hired accommodation structure in case of the risk of fire. All cooking facilities must be raised off the ground and in the designated cooking areas if applicable. If you are unsure where the designated cooking area is, please speak to reception. We do not permit the use of cooking facilities at all of our events so please refer to your event specific guest guide.

g. Any dispute between us and you arising from the rental or use of the tent or these terms and conditions is governed by English law.

15. Prohibited items

a. You or your party must not bring or be in possession any weapons, knives, fireworks, firearms, illicit, immoral or illegal articles to the campsite.

b. If there is reasonable suspicion this agreement has been broken you may be asked to leave immediately without refund and/or risk forfeiting your security deposit.

16. Service Supply

a. In the current very difficult global trading and supply conditions, it is a top priority of ours to provide you with the service as indicated. However, there may be occasions where we have to substitute aspects with the provision that they will be as close as possible to those originally described.

17. Breakfast & Catering

a. Breakfast service and offerings vary by event and we ask that you refer to the guest information booklet for all the details for your catering. Please note, we do not supply breakfast at the Isle of Man TT event.

b. Breakfast Service: All of our guests are entitled to a complimentary ‘cold’ breakfast options which consists of fruit juices, milk, cereals, toast, spreads, tea and coffee. All ‘hot’ breakfast options which includes cooked options such as bacon/sausage sandwiches, eggs, English Breakfasts must be purchased at an additional cost, no pre orders are required.

c. Dinner Service: Dinner service is available at a limited number of our events and these are available at an additional cost. Please refer to the guest information booklet for your event.

d. Motorhome Guests: If you are a motorhome guest, your hot breakfasts and dinners are included in your booking. You must present your wrist band when ordering to avoid being charged.

e. Free tea and coffee: Where available, intentsGP supplies free tea and coffee to guests. You are advised to bring your own suitable drinking vessel. Timings of availability vary so please refer to your event specific guest guide.

f. External vendors: At our events, we rely upon external companies to supply catering and drinks to our guests at our campsites. intentsGP has no control over menu pricing, allergens or quantity of food available. Allergens and cross contamination may be present so you eat at your own risk. If you have severe food allergies, do not eat within the catering spaces.

19. Lost Property

a. Any lost property found by us will be kept for 14 days after it has been found. We will donate or dispose of any unclaimed property after this date.

b. If you think you have lost property with us, please write to our team with the item description, your booking reference, accommodation number and an address we can post items back to.

c. The cost for items to be posted is at the cost of the owner.
